Thursday, May 14th, 2009A few people trialing our project management software – Project Administrator – have asked if it is possible to copy a meeting agenda. There is a button on the top left of the screen to copy a meeting.

Once you click the button, you will need to select what you want to include in the meeting.

Basically you need to decide which agenda items are to be included in the copied meeting, and if you want Action Items moved to the new meeting. Action Items can only be attached to one meeting. You cannot
- Create an action item for meeting one
- Create meeting two from meeting one and move the Action Items
- Still see the actions by opening meeting one.
Typically you would move only the open action items. If you want to see the minutes as issued after the meeting, save as a PDF file. You can use the document management part of Project Administrator to store the minutes.
You also have the option of deciding what should be on the next agenda. This includes start and finish times, venue and invitees. These of course can be changed when you create the new meeting.
One organisation bought Project Administrator purely for the meeting functionality. The area using the software were not involved in projects. They just wanted a tool to manage agendas, minutes and action items. Evidently after a few meetings, they were approached by a Project Manager who asked if he could see their meeting software as he thought he could use it for his project. He was blown away when he found it was actually a small part of a piece of Project Management software.
